Job Description:

Assists in the overall efficient management of the Employee Health and Wellness Department, collaborating with department Manager and Coordinators to support the delivery of the MHS Workers Compensation, Leave of Absence (LOA), and Health for Life programs and the Employee Health and Wellness department. Serves as the first contact for employees coming to the department and provides excellent customer service to employees needing services from Employee Health and Wellness. Develops and maintains computerized databases related to occupational injuries/illnesses, blood body fluid exposures, return to work accommodations, immunization records, all new hire records, communicable disease log, Health for Life utilization data, and leaves of absence records. Creates and maintains workers' compensation and employee health files in a manner to facilitate document review and retrieval, utilizing the Hyland electronic printer & scanner and OnBase electronic file system. Develops and maintains current and accurate reports, regarding injury data, Health for Life participation, and flu compliance, providing specific data and statistics as requested. Initiates accurate and timely reporting to comply with agency regulations and legal requirements. Assists in the development and preparation of monthly/annual reports documenting employee health and wellness metrics, including data for all foot traffic to Employee Health and Wellness. Assists in calculating and preparing disbursements for all Employee Health and Workers' Compensation bills, including temporary total disability benefits, settlement benefits, medical benefits, laboratory, pharmacy, and medical imaging charges. Assists in administering and delivering the Health for Life program. Assists in evaluating employee wellness trends and partner with benefits staff to recommend changes to benefit programs based on the need. Assists in reviewing, evaluating an administering the employee leave of absence programs, ensuring compliance with applicable laws. Administers the LOA programs, determining eligibility under applicable laws and health system policies. Communicates with others regarding leave availability and maintains all associated documentation, correspondence, time accrual and usage balances for leaves of absences. Notifies Employee Health and Wellness staff of any exposure, injury, or potential fitness for duty situation that may require immediate attention. Notifies Manager or Director of difficult situations/problems as they occur. Assists in preparing and disbursing agendas, meeting notes, and case summaries for meetings concerning workers' compensation and employee health. Assists in the maintenance of employee health policies. Prepares correspondence related to workers' compensation, health for life and employee health issues. Maintains monthly reports for employees' immunization statuses and notifies employees when immunizations are due. Assists with communication plans for Health for Life, annual flu vaccine, and other related programs. Provides administrative support for the flu program, maintaining electronic records, running compliance reports, provide correspondence to non-compliant employees, and data entry as needed. Participates in department activities, sharing observations and suggestions for overall improvement. Manages a multi-line phone system, with the ability to answer questions related to basic Employee Health, Work Comp, Leaves of Absence and Health for Life issues. Manages large amounts of sensitive, confidential information concerning employee health and wellness and business information contained in minutes, letters and other documents. Maintains strict confidentiality concerning all correspondence and job related activities, information and records. Maintains professional growth and development through continuing education, seminars, workshops, etc. Performs other related work as required or requested. Education: High School education or equivalent required. Associate's degree in Human Resources or related field preferred. Experience: Three years' professional experience in customer service, administrative support or office management required. Experience in an employee health or healthcare setting a plus. Previous experience dealing directly with the public in person and on the phone is preferred. Other Knowledge/Skills/Abilities: Demonstrated knowledge of Microsoft Office applications for email, reports, documents, presentations, charts, spreadsheets and correspondence. Excellent written and verbal communication skills. Excellent customer service skills and ability to communicate with individuals at all levels of the organization. Ability to learn technology needed for LOA management, employee health & workers' compensation reporting. Creativity in developing new processes, problem solving and utilizing critical thinking skills. Excellent organizational skills and ability to successfully manage multiple priorities and work independently. Knowledge and familiarity with relevant laws, such as FMLA, ADA, Workers Compensation, OSHA preferred. Knowledge of medical terminology and healthcare delivery system preferred.
