Bookkeeper, Operational Assistant, Membership Director The Bookkeeper, Operational Assistant, Membership Director position is an integral part of a team of professionals whose mission and purpose is to support members in being professionally, ethically, and operationally superior, and to advocate for the funeral service profession. The Bookkeeper, Operational Assistant, Membership Director works closely with the Executive Director to support the association in business management, performing accounting tasks, maintaining accurate membership records and performing various tasks requiring knowledge of office management systems and procedures. Essential Responsibilities: Classify, record, and summarize numerical and financial data to compile and keep financial records using QuickBooks. Check figures, postings, and documents for correct entry, mathematical accuracy, and proper codes according to company procedures. Compile statistical, financial and accounting reports and tables pertaining to such matters as cash receipts, expenditures, accounts payable and receivable, and profits and losses. Process accounts payable and receivable. Reconcile bank statements in QuickBooks. Assist with preparation of annual budget. Comply with federal, state, and company policies, procedures, and regulations. Receive, record, and bank cash, checks, and vouchers. Process credit card transactions. Reconcile or note and report discrepancies found in records. Process Illinois Lobbyist Report to detail expenditures, if any. Prepare and process Political Action Committee contributions and expenditures by preparing and processing reports required by the state Board of Elections. Process Home Study and Online Continuing Education, and keep inventory stocked. Provide registration desk assistance at conventions and seminars. Answer phone calls and direct calls or messages to appropriate parties. Greet visitors and determine whether they should be given access to specific individuals. Open, sort, and distribute incoming correspondence, including faxes and email. Maintain all aspects of membership, from approving initial applications in AMS (specifically YourMembership) to processing dues payments, invoicing, and replying to questions. Handle registrations for conventions and seminars. Enter continuing education hours in AMS (specifically YourMembership). Funeral Home Surveys. Provide assistance with trust-related questions. Provide assistance with online Comptroller Report filing. File Annual Sales Tax report online. Process 1099s. Assist with building maintenance, such as scheduling elevator inspections and getting bids on repairs and maintenance. Other duties as assigned.
